As a Firm Administrator, you’ll be at the forefront of leveraging our administrative processes using the latest technology. You’ll work closely with clients, ensuring they receive a thoughtful and intentional client experience. You will also provide comprehensive administrative support to the team, managing projects and various initiatives as they are assigned. This in-office, flexible role is ideal for someone who is looking to work 4-6 hours per day, thrives in a fast-paced, tech-driven environment and is passionate about leveraging technology to enhance productivity and effectiveness. There is an opportunity for this part-time, flexible role to become full-time if the candidate desires.

Key Responsibilities:
Document Management
- Facilitate the flow of incoming and outgoing digital documents.
- Printing and assembly of tax returns for client signature and presentation to clients.
- Download and store client’s bank, credit card, and other reconciliation statements for accounting team members.
Data Entry
- Accurately update client data into various software programs.
- Manage set up of new clients.
- Manage the client exit process.
- Use of our practice management solution to update project workflow and manage your priorities.
- Handle payment processing and release of financial deliverables to clients.
Office Administration
- Interact with clients in person, via phone and email; greet clients warmly when they arrive at the office.
- Manage client files and confidential information with the utmost discretion.
- Triage email and phone calls for staff members as needed.
- Perform general office duties including photocopying, faxing, mailing, and filing.
- Maintain calendars and set appointments for multiple staff members.
- Provide support to the leadership team for special projects and initiatives as assigned.
- Assist in meeting setup.
- Stay ahead of the curve by exploring new technologies and tools that can enhance our office efficiency and client experience. Your innovative ideas will be welcomed and encouraged.
Qualifications & Desired Skills:
- 1+ years of experience in an administrative role/customer service role. (within the last 2 years)
- Excellent interpersonal skills and effective oral and written communication skills.
- Proficiency in Microsoft Office suite and familiarity with cloud-based productivity tools.
- Willingness to adapt and learn new technology.
- Ability to work independently.
- Critical thinking skills.
- Excellent time management.
- Experience with managing multiple priorities, deadlines and budgets; willingness to work extra hours during tax season or at other tax deadlines.
- Integrity within a professional environment and dedication to teamwork.
- Positive, team-oriented mindset, passion for helping others succeed.
- Tax, Banking, Financial, and/or Accounting experience preferred but not required.
Job Type: Full-time or part-time option, Monday – Friday, with overtime possible during the months of January through April.
Salary: $18 per hour
